The ATS resume checklist: 12 things to fix before you apply

Most mid-size and large companies now run every resume through an applicant tracking system (ATS) before a human ever opens it. The software parses your file into fields — name, title, dates, skills — and a recruiter usually searches or filters on those fields rather than reading every resume top to bottom. If the parser mangles your layout or your resume is missing the keywords a recruiter searches for, you can be a strong candidate and still never get a look.

None of this requires guessing. Here's what actually breaks parsing or costs you a filter match, and how to fix each one.

Formatting and layout

1. Skip multi-column layouts

Two-column resumes look sharp in a template preview, but many parsers read left-to-right across the whole page, which scrambles your columns into nonsense — a skill from your sidebar can end up spliced into the middle of a job description. Stick to a single column.

2. No text boxes, tables, or graphics for content

If your contact info, skills, or experience live inside a text box, table cell, or icon-based graphic, many parsers skip them entirely. Put everything in the normal document flow as plain paragraphs and bullet lists.

3. Keep contact info out of the header/footer

Word and PDF headers/footers are outside the body text many parsers read. Put your name, phone, email, and location in the main body, at the top of the first page.

4. Use standard section headings

“Experience,” “Education,” “Skills,” “Summary” — not “Where I've Made an Impact” or “My Journey.” Parsers map sections by matching known heading text; creative headings often don't map to anything, so that whole section gets dropped from search.

5. Save as a standard PDF or .docx

A PDF exported normally from Word or Google Docs parses fine. A PDF that's actually a scanned image, or one built in a design tool with text set as outlined/embedded shapes, contains no extractable text at all — the parser sees a blank page.

Content and keywords

6. Mirror the job posting's exact keywords

If the posting says “stakeholder management” and your resume says “worked with cross-functional partners,” that's a miss on an exact-match search. Read the posting, note its recurring terms — skills, tools, certifications, job title — and use that exact phrasing somewhere in your resume, where it's genuinely true.

7. Spell out acronyms at least once

Some recruiters search “Search Engine Optimization,” others search “SEO.” Include both — spell out the term once, with the acronym in parentheses, so you match either search.

8. Use a dedicated skills section

Skills mentioned only inside long paragraph descriptions are easy for a parser — and a skimming recruiter — to miss. A short, explicit skills list near the top gets scanned first and searched most reliably.

Dates, consistency, and length

9. Use one consistent date format throughout

Pick “Jan 2023 – Present” or “01/2023 – Present” and use it everywhere. Mixed formats can confuse date-range parsing, which some systems use to calculate your total years of experience — a field recruiters filter on directly.

10. Write bullet points, not paragraphs

A dense paragraph under each role is harder to parse and harder for a human to skim in the 6–7 seconds most recruiters spend on a first pass. Three to five bullets per role, each starting with an action verb, reads faster and parses cleaner.

11. Quantify results wherever you honestly can

“Managed social media” is a duty. “Grew Instagram engagement 3.2x in 6 months with a weekly content calendar” is a result — it reads better to a human and doesn't hurt parsing either way, so there's no reason not to.

12. Match resume length to experience

One page for under ~7 years of experience, up to two pages beyond that. A padded one-page-worth of content stretched to two pages reads as filler; a dense two-page career crammed onto one loses the detail that would otherwise match more keywords.

None of this is about gaming the system — it's about making sure the real qualifications you already have are actually visible to whatever reads your resume first, software or human.
