ATS resume: the format machines can read

Before a recruiter reads your resume, software usually reads it first. That software is an applicant tracking system, or ATS. It does not reject you for being a weak candidate. It drops you when it cannot read the file, or cannot find the words the recruiter searched for. Both are fixable, and this guide shows how.

What an ATS does with your resume

Four steps between pressing Apply and a person reading it.

How parsing breaks

Almost every failure comes from design choices that look good to a person and mean nothing to a machine.

Columns get merged

A parser reading left to right joins your skills sidebar to your job history, line by line. The result is nonsense, and the recruiter's search finds nothing.

Details go missing

Text in page headers, footers, text boxes and images is often skipped. If your phone number lives there, the system may have no way to reach you.

Dates and titles get lost

Tables, unusual headings and mixed date styles make it hard to tell which title goes with which company, so your experience is counted wrong or not at all.

Fixing the layout is the easy half. If the words still read like a job description, a writer can rewrite it for you.

Check your own resume in five minutes

No tool needed. Open your file and go down this list.

Open the PDF and press Ctrl+A (or long-press on a phone). If you cannot select the text, a parser cannot read it.
Copy everything and paste it into a plain notepad. It should read in the right order: name, then summary, then jobs from newest down.
Your name, phone and email appear in that pasted text, not missing because they sat in a header or a graphic.
Every job has a company, a title and start and end dates in the same style.
The job title you want appears on the page in the words employers use for it.
The main skills from the job advert appear in your bullets as well as your skills list, where they are true of you.
No tables, columns, text boxes, skill bars or photos holding information.
File name is your name: Priya_Sharma_Resume.pdf, not resume_final_v3.pdf.

Notes for job seekers in India

Where Indian applications actually go, and what each one needs.

Naukri and other portals

Recruiters search the portal's database by keyword. Your profile headline, key skills and resume should use the same job title and the same tools. Update the resume when you change jobs, not just the profile.

Company career sites

Large employers often run their own portal that parses your upload into a long form. Check every pre-filled field before you submit. Salary, notice period and location usually go in the form, not on the resume.

Campus placements

Placement portals often ask for a fixed one-page format. Use it when asked. When you choose, keep one column and put projects and internships above hobbies.

Leave off
Photo, date of birth, father's name, marital status (unless asked)
“Declaration” and signature at the bottom: that belongs on a biodata
Full home address: city and state are enough
Keep in
Mobile number with +91, and a plain professional email
Current city, and willingness to relocate if it is true
Degree names written out in full once: B.Tech (Mechanical Engineering)

ATS resume questions

What is an ATS resume?

It is a resume laid out so that an applicant tracking system can read it correctly. That means one column, plain headings, real text rather than images, and dates and job titles in a predictable place. It is not a special kind of resume. A good ATS resume is simply a clean resume that also reads well to a person.

What is the best ATS friendly resume format?

Reverse-chronological in a single column: contact details, a short profile, skills, work experience newest first, then education. Freshers put education and projects above experience. Our resume format guide covers the three formats and when each one makes sense.

Can an ATS read a PDF?

Yes, if the PDF has real text in it. A PDF exported from Word, Google Docs or a resume tool is fine. A scanned page or a photo saved as PDF has no text at all, and some design tools export text as shapes. Try selecting the text in your PDF; if you can, a parser can too. Send Word only when the employer asks for it.

Is a two-column resume ATS friendly?

Often not. Many parsers read straight across the page, so a line from the left column gets joined to a line from the right one. Some newer systems cope, but you cannot know which system an employer uses. One column is the safe choice and costs you nothing.

Should I copy keywords from the job description?

Use the employer's words for things you have actually done. If the advert says "accounts payable" and you wrote "vendor payments", use their phrase. Do not paste in skills you do not have or hide keywords in white text. Recruiters read the resume after the search, and an interview will expose anything that is not true.

Are online ATS score checkers accurate?

Treat them as a rough guide. Each checker uses its own rules, and none of them is the system the employer runs. A high score does not mean you will be shortlisted, and a low one may only mean the checker did not like your headings. The manual checklist on this page tells you the things that actually matter.

Does Naukri use ATS?

Naukri reads your uploaded resume to help fill your profile, and recruiters find candidates by searching profiles and resumes for keywords. So the same rules apply: clean text, the right job title, and the skills recruiters search for, written plainly. Keep your Naukri profile headline and key skills in line with the resume.
